Position Description:
The Associate Project Manager supports the Project Management team by providing high level support to the team while assisting with the implementation of a multi-disciplined real estate project solution for both tenant and agency clients with direct accountability for project delivery. This position will be in the involvement of construction project management oversight for various types of construction projects including interior and exterior office, industrial, retail, and mixed use construction up-fits, renovations, and development.
Essential Job Functions:
- Properly engages parties with appropriate contracts and engagement letters prior to commencing projects.
- Holds and leads kickoff meeting to set expectation and roles for each party at the onset of their assisted project.
- Proactively anticipates and manages project-related issues on account or assignment.
- Works with client to develop high level scope of work and schedules for custom projects.
- Leads project delivery resources/teams providing project guidance and direction to achieve project goals.
- Facilitates, documents, and communicates all weekly meetings to team.
- Processes and maintains vendor invoices, as well as, payment reconciliation.
- Understands all AIA contracts and monthly billing.
- Contacts vendors/contractors/architects/engineers to make connections and sells the platform for future business.
- Understands permits, codes and how to file for a permit.
- Creates proposals and subcontracts and has the knowledge how to execute contracts/purchase orders.
- Keeps track of when recurring reports are due and meetings are scheduled.
- Keeps track of case studies for different types of projects.
- Ensures project data integrity and documentation is accurate, timely, and coordinated.
- Tracks progress of each project against goals, objectives, approved budgets, and approved timelines. Report any variances.
- Coordinates and tracks all Vendor RFP’s. Maintains accurate and consistent electronic files and documentation.
- Oversees and manage activities of sub-contractors and relocation of technical functions.
- Interacts and negotiates with contractors and subcontractors on behalf of clients.
- Prepares/updates project status reports, processes purchase orders and invoices, updates tracking reports and maintain files for due diligence and financials.
- Assess change requests to determine impacts to scope, budget, schedule, quality and risk.
- Demonstrates ability to identify project risks, develop risk mitigation and contingency plans, and implement action plans to minimize risk.
- Works closely with client user groups in coordinating their specific requirements relative to design, construction and occupancy of their facilities.
- Participates and documents project close out to parties involved including reconciliation of pay apps and lien waives.
- Other tasks may be assigned based on company and client needs.
Education and Experience Requested:
- Bachelor’s degree in Science with minimum of one (1) year of construction management or related experience.
- Excellent communication and organizational skills to drive process and implementation.
- Assumes a leadership role and takes responsibility on all projects assigned, needs little to no supervision.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Exceptional interpersonal skills and ability to build relationships with stakeholders. Proven record of providing excellent customer service, both internal and external
- Excellent oral and written communication skills (spelling and grammar).
- Ability to proactively problem-solve and demonstrate strong decision-making capabilities.
- Demonstrated proficiency with Microsoft Office (Outlook, Word, Excel, and Power Point), and Microsoft Project.
- Effective time manager – proven ability to consistently manage multiple projects with accuracy and zero missed deadlines.
- Extremely high energy; fast-paced and driven to succeed. Keen ability to work efficiently autonomously or as a member of a team.
