Private Events Manager

POSITION OVERVIEW:
The Private Events Manager will report to the Director of Event Operations and will be responsible for leading the planning, coordinating, and executing of private events held at GEODIS Park.  An ideal candidate must be a self-starter who can efficiently prioritize multiple requests and objectives into actionable plans and tasks.

ROLES AND RESPONSIBILITIES:

  • Collaborate with the Private Event Sales Department to prepare event estimates and review event costs for settlement.
  • Develop concepts, manage budgets & all aspects of private events held at GEODIS Park.
  • Acquire strong knowledge of all event spaces in GEODIS Park (i.e., capacity per specified layout, existing A/V Set-up, Food & Beverage arrangements, etc.).
  • Responsible for building and maintaining strong client relationships while ensuring all event specifications are communicated to and executed by all operating departments making for a successful experience for the client and attendees.  
  • Serve as the lead and primary communication liaison for all key stakeholders (Clients, Internal Departments, and Vendors) on event day, which includes managing all event-related details and ensuring the execution of the event.
  • Serve as an enthusiastic public-facing representative of GEODIS Park, modeling friendly and attentive customer service for internal staff to follow.
  • Manage and lead cross-functional relationships with all Internal Departments to ensure all personnel are on the same page.
  • Develop event outlines summarizing each event to ensure each department is aware of all aspects associated with the event.
  • Schedule and lead pre-event meetings with all pertinent departments to ensure each stakeholder has all the required details to successfully execute the event.
  • Act as the on-site event contact for assigned special events, monitoring the entire event production from install to strike (ie. walk-through(s), summary, set-up, load-out, event settlement, etc.).
  • Implement facility rules, regulations, policies and procedures.  
  • Inspect and oversee the cleanliness and maintenance of all function space.
  • Become familiar with the venue’s event planning software for event layout design proposals.
  • Assist in management of the stadium events calendar.
  • Other duties as assigned.
DESIRED QUALIFICATIONS:
  • 3-5 years’ experience planning and managing special events, preferably in professional sports and/or live entertainment venue.  
  • Experience in the hospitality industry preferred.
  • Bachelor’s degree or equivalent combination of education and related experience and/or training.
  • Must be highly organized, detail oriented, resourceful, quick learner and able to handle multiple projects simultaneously.
  • Must have a professional demeanor and excellent verbal and written communication skills.
  • Team player with a positive attitude and a drive to constantly seek to better oneself.
  • Exceptional interpersonal and communication skills with an ability to work well with different personalities in a fast-paced environment and constant deadlines.
  • Can be trusted to act in a manner that is truthful and values direct, honest communication at all levels of the Club.
  • Must be able to operate within designated budget. 
  • Exceptional guest and client service capabilities.  
  • Prior experience successfully managing people. 
  • Must be able to work events from start to finish throughout the year which includes days, nights, weekends and holidays.
  • Experience with Cvent – Social Tables & VenueOps software programs is a plus.
  • Must have computer skills: Microsoft Word, Excel, PowerPoint & Outlook.
  • Ability to lift and/ or move up to 25 pounds.
